WHAT IS RETURNING CAMPER CUSTOMER?

A returning camper is someone that attended a camp session in the summer of 2023. Returning Customers need to register between designated dates and pay their deposit to ensure a spot for the upcoming summer. All dates are confirmed at the time of registration and there are no change dates for 2024

Creative Themes Staff will be in the parking lot between 8:30 to 9:00 and 3:00 to 3:20 to assist in a safe and easy drop-off and pick-up.

DEPOSIT & PAYMENTS

Deposit

A $200 per camper deposit is required once registration is confirmed.

  • Deposit payments made by ACH or check to confirm registration.
    • Checks made out to Creative Themes Day Camp.

Payments

All balances will be due to be paid in full by June 1st (notify the camp office if payment arrangements need to be made)

  • The camp fee includes Friday lunch, daily drinks, arts and crafts, and all camp activities.

Any returned payments will be charged a $30 fee.

REGISTRATION & SESSION CANCELLATION POLICIES

Registration Cancellation 

All registrations received by March 1st have 20 days from initial confirmed registration to cancel a camper’s complete registration for 2024 with no fees. Registrations received from March 1st to June 1st have ten days. After that date, a $100 Administration Fee is accessed to all registrations and is non-refundable due to camper cancellations for 2024, no-shows, and closures*. This fee is part of the deposit and includes camp fees when campers attend the initial session. 

As of June 1, 2024, the Administration Fee ($100) plus $100 of the deposit will no longer be refunded to Customers.

*As in any year, much of the cost to prepare and operate the camp is incurred before the camp season. Due to this, the Administration Fee is non-refundable, even if by no fault of Creative Themes, the camp cannot operate this summer due to a government shutdown or other circumstances beyond Creative Themes’ control.

Creative Themes is also not liable if a camp cannot operate due to circumstances beyond their control due to the weather or natural disasters. Creative Themes is not obligated to refund or credit any camp fees that occurred due to these circumstances.

Suppose the camp closes before the scheduled last day. In that case, whether the government ordered or by the decision of the directors that doing so is in the best interest of campers and staff, Creative Themes cannot promise to provide any refund to campers’ camp fees.

Session Cancellation

All session cancellations should be received by May 1st, so you are not invoiced for them. After this, refer to the information below.

Ten days prior, customers can receive either a 50% refund or 75% credit—less full deposit and after June 1st payment received.

Ten days or less/No Show-CT will not issue any refund for that session (This circumstance supersedes any other cancellations.

The directors will determine refunds for particular circumstances. Please get in touch with the directors as soon as possible with any questions. 

HEALTH HISTORY & FORMS

The New York State Department of Health requires each camp to keep a current copy of every camper’s immunization history on file to attend. Campsite keeps immunization forms on file as long as you have an account. Upload all immunization forms once; you only have to upload them when updated. A complete copy of your child’s immunization history should be submitted to Creative Themes by June 1, 2024. Campers without an immunization history on file will not be permitted to attend.

PERSONAL POSSESSIONS

Please leave all valuables at home, including cell phones, other electronics, card games, and toys. We also ask that campers be directed not to use smart watches or other devices while at camp. Any communication with parents can be done through the camp office.

A towel, bathing suit, sneakers, and a change of clothes are all that’s needed in a backpack. Flip flops or water shoes are acceptable for the pool area but should not be primary footwear. On rainy or cold days, coats or sweatshirts may be needed. Mark your child’s name on the clothes. Many lovely pieces of clothing are left at the camp without identifying the owners.

CAMPERS’ BEHAVIOR EXPECTATIONS

Campers are expected to respect and listen to the camp staff.

No taking of other campers’ stuff.

No fighting or foul language will be tolerated.

No destroying camp property.

Campers with an issue with the above may be asked not to attend camp sessions. Campers will forfeit all camp fees for that session and any sessions that may need to be canceled if they are less than ten days from being asked not to attend CT.

HEALTH DEPARTMENT INFORMATION

Creative Themes Day Camp obtains a yearly permit from the New York State Department of Health. We are inspected three times during our summer operations, and reports are filed with the Monroe County Department of Health.

Creative Policies & Procedures
WHAT HAPPENS IF I NEED TO PICK MY CHILD UP EARLY?*

Just like in school, we request a note or a phone call before you pick up your camper. Once you get in the camp parking lot, call the camp office (585.385.6830), and we will bring your camper. All pick-ups should be made no later than 2:35, or campers can then be considered a regular pick-up.

Extended parents walk in to sign out their children. (after regular pick-up is done at 3:25)

WHAT HAPPENS IF I DROP MY CHILD OFF LATE?*

For any drop-offs after 9:00, call the camp office (585.385.6830), and someone will come up to the parking area to get your camper when you arrive.

If you know your camper will be late, please call in the morning or the day before.

WHAT TYPE OF EXTENDED CARE SERVICES ARE OFFERED?

Afternoon Extended Care-3:25 to 5:30
Creative Themes staff will sign in and check–out all extended day campers, and a snack will be provided. The activities vary depending on the weather and camper numbers but might be an open swim, fishing, archery, playground, and art. 

Campers will need to be signed up before the start of each session. More information about sign-up will be available in our June newsletter.

IF NEED TO BRING MEDICATION FOR MY CAMPER, WHAT SHOULD I DO?

Yearly campers must have health and immunization information completed on the “Parent Dashboard” forms section. List all medications on this service. Medications must be listed and inputted by the parent in the dashboard.

Medications must be in their original container and with a valid expiration date on drop-off day, and our medical staff will take care of distribution. All Epi-Pens should be in a prescription box with the child’s name.

***All campers with medication need to have a Medication Authorization Form*** on file before attending camp. This form can also be found on the “Parent Dashboard.”

DOES CT HAVE SUNSCREEN AVAILABLE?

All campers will need to bring sunscreen daily. Campers should be able to apply the sunscreen as best as possible. We suggest campers use sprays and sticks (faces). Make sure all bottles are labeled. When needed, staff will help if possible; unlike in the past, our protocols were a little more restrictive for applying sunscreen on individuals.

DO CAMPERS NEED ELECTRONICS AT CAMP?

We prefer no electronic devices to camp. It would be easy for them to get lost or broken. Campers are prohibited from using their devices during the day, so they must be kept in the office for safety. The camp phone is always available for any camper who needs to call.

We ask that campers do not make calls on their phones to home or text during the day.

Smartwatches. They are the responsibility of the campers, not our staff. Campers should not use these devices to contact people outside the camp during camp hours. We ask that parents talk with their children about this guideline.

WHAT SHOULD CAMPERS BRING TO CAMP?

Bring a backpack or tote to keep personal belongings in. Things to bring would be a bathing suit, towel, change of clothes, rain jacket (when it rains), warm clothes (for cool mornings), and lunch (M, T, W, and TH). Remember we provide drinks at lunch and plenty of water throughout the day (water bottle).

Campers should always wear closed-toed shoes; flip-flops are acceptable for going to and from the pool but will not be allowed for walking around camp. We recommend sneakers or hiking-type shoes. This will keep your feet safe from injuries and allow you to participate in all outdoor activities at camp. (Note: NO Crocs.)

WHAT ARE THE COUNSELORS LIKE?

In a word, AWESOME! Aged 16 or older, our counselors come with various experiences. Above all, they have been chosen to work at CT because they all enjoy working with kids. Many of our counselors are past campers who understand the camper’s needs. They want to help you experience new things and have the time of your life! When we ask campers what they like most about the camp, it is usually the Awesome Staff.

HOW DO PARENTS COMMUNICATE WITH THE CAMP? WHO WILL BE A PARENTS “CONTACT” OR GO TO PERSON AT CREATIVE THEMES?

At Creative Themes, we believe in creating a strong communication system with our parents. We view our relationship as a partnership, with the central goal being your child’s happiness. Our summer office hours are between 8:00 a.m. and 5:30 p.m. daily. Your child’s Lead Counselor will be your primary contact here at camp, and you can connect with them at drop-off or pick-up times. Should you need to talk with them and not see them, call the office, and we will take care of the connections.

Regular camp hours are 9 a.m. to 3 p.m. The camp’s daily activity schedule begins at 9:05 a.m. Our daily schedule concludes at 2:35 p.m. with dismissal at 2:50 p.m. Normal camp hours, drop off from 8:30 a.m. to 9:00 a.m., and pick up from 2:55 p.m. to 3:25 p.m..
